Senior Residence & Events Manager
The Governor's Office is seeking a new member of the team - a Senior Residence and Events Manager.
JOB PURPOSE
To lead on the day-to-day operations of the Governor’s Residence, ensuring it is maintained to the highest standards and to enable the smooth running of events delivered by the Governor's Office in support of Montserrat.
This is a varied role and we are looking for an enthusiastic and creative professional to organize events and oversee the management of the property, finances and staff on a day-to-day basis.
Residence Management & Maintenance:
The Senior Residence and Events Manager will oversee all activities at the residence, manage the day-to-day operations, and ensure the Residence is ready to support the Governor with her representational duties at all times. The Senior Residence and Events Manager will ensure that the Governor's Residence, assets and stocks are managed and maintained to the highest possible standard. They will be responsible for residence safety and security issues, in coordination with the Corporate Services Manager and Maintenance staff. The role is responsible for the line management of the Governor’s Housekeeper and Chef.
Events Management:
One of the many ways the Governor's Office delivers on its objectives and interfaces with stakeholders is through events. These can range from small dinners hosted at the Residence, receptions to informal social events.
The Senior Residence and Events Manager will lead from the front on all aspects of events management at the residence, from the initial concept stages through to the delivery of the event, and aftercare. They will work as part of a team, primarily in partnership with the Corporate Services Manager and Social Media Officer, to deliver events that are of a high reputational standard, on budget, and meet the Governor's Office objectives and vision. This work includes, but is not limited to, the overall planning, budgeting, invites and guest management, staffing, vendor and supplier relations, and the management of all logistical aspects related to events.
This role is pivotal in driving the Governor’s Office interactions with the public, strong interpersonal skills, confidentiality and creativity are all prerequisites for success.
KEY RESPONSIBILITIES
Residence Management:
Overseeing all staff working at and for the Residence; planning and implementing schedules to ensure that the Residence is always ready to host events and accept visitors and guests in support of the Governor's representational duties.
Efficient event stock and property asset management and record keeping, providing regular reports and recommendations to the Corporate Service Manager.
Maintaining excellent relations with existing suppliers and vendors while actively seeking to identify and networking with new suppliers and opportunities in line with Governor’s Office objectives.
Chairing monthly Residence meetings to keep the staff, Governor, and Governor’s spouse informed of residence matters and identify, flag and manage any pending issues.
Property Maintenance:
Coordinating and overseeing all scheduled and required maintenance activities at the Governor’s Residence, working in conjunction with relevant Governor’s
Office staff and other external stakeholders.
Working closely with the Corporate Services Manager to identify and address any minor maintenance services, repairs/replacements of fixtures or fittings where appropriate.
Overseeing contractors and visitors arriving at the Residence ensuring that they operate safely and in line with Office procedures.
Events Management:
Coordinating, overseeing and taking a hands-on role where necessary in all aspects related to events at the Residence or alternative locations, working in conjunction with relevant Governor’s Office staff, stakeholders, vendors and suppliers.
Ensuring all events are run to the highest standard, providing training to all temporary staff before events, and conducting reviews and lessons learnt on event effectiveness.
Recruiting, and managing temporary staff conducting work for Governor’s Office events to ensure they are performing their duties effectively.
Line Management:
Providing effective line management of 2 x Residence staff through direction, support and oversight of activities.
Identifying development and training areas for Residence staff to support them in the effective delivery of their duties.
QUALIFICATIONS & EXPERIENCE
The applicants must:
Be capable of seeing the big picture and understand how activities at the Residence fit in with the duties and responsibilities of the Governor.
Be a self-starter and willing to always be hands on, to ensure delivery on objectives.
Have strong problem-solving skills.
Be organised, able to work in fast paced settings and under pressure.
Be a team player and work well with others when coordinating the delivery of events and ensuring maintenance of the residence.
Have good interpersonal skills, including strong front facing customer service skills and an understanding of social etiquette.
Have strong written and communication skills.
Be numerate and computer literate.
Have a proven background in event management, and be able to manage all event scenarios from small dinner evenings to larger events on budget from idea conception, planning and invites through to event clearance.
Have prior experience in food handling, and food hygiene.
Understand and practice health and safety procedures.
Be a first aider, or willing to be trained in First Aid.
Have experience in managing a team.
Have a driver's license.
Have a clean Police Record.
Be physically fit.
Education
Completion of secondary school
Five (5) or more subject passes at O’ Level/GCSE including English and Maths.
RENUMERATION PACKAGE
The annual remuneration package for the post of Senior Residence & Events Manager is at R22 in the salary scale, that is EC$54,072.00 (Taxable). A monthly allowance of $400.00 to compensate for personal use of petrol is payable.
TERMS & CONDITIONS AND DURATION OF ENGAGEMENT
Appointment will be made on a contractual basis of 1 year with an option to extend for up to 3 years. At the successful completion of the three-year contract, a gratuity of 12.5% of earned salary is payable.
Hours vary and are to meet the needs of the Governor, including occasional evening and weekend working.
